ADMINISTRATIVE DIRECTOR JOB DESCRIPTION:
This position supports the work of the YMCA of Southern Arizona, a leading nonprofit committed to strengthening communities. The Administrative Director is responsible for ensuring a variety of administrative needs are met to promote a cohesive corporate office workflow and to maintain and enhance a vibrant and growing Development Office.  In addition to administrative functions, this position provides primary support for and reports to the Chief Financial Officer.

 

RESPONSIBILITIES OF AN ADMINISTRATIVE DIRECTOR:

  • Assists CFO and President/CEO in day-to day administrative needs
  • Produces and maintains organization of Board and Committee minutes, meeting packets, and meeting reminders
  • Coordinates and oversees Board-related items such as recording of meetings, attendance tracking, food coordination, and room set up/clean up
  • Oversees and supports the handling of telephone inquiries; handles daily mail; orders office and meeting supplies
  • Effectively listens and communicates with members, donors, volunteers, and the general public
  • Adept at utilizing the current operating software systems for entry of development pledges, payments, campaign volunteers, and prospects
  • Receives and documents pledge payments to ensure a balanced end-of-shift report
  • Ensures reconciliation of end-of-shifts and daily deposits are completed
  • Produces development pledge payment reminders, acknowledgements, and tax statement letters
  • Maintains grant tracking sheet
  • Runs Development reports as needed
  • Assists with the Minker campaign by supporting the volunteer Minker campaigner as needed
  • Adheres to all YMCA of Southern Arizona policies and procedures
  • Performs other duties as assigned

REQUIREMENTS OF AN ADMINISTRATIVE DIRECTOR:

  • Must be at least 21 years of age
  • Minimum High School Diploma or GED; Bachelor’s Degree preferred
  • At least 2 years office management or other business experience required; non-profit sector experience preferred
  • Excellent interpersonal and problem-solving skills
  • Professional demeanor, positive attitude, and the ability to work well with community, staff, and volunteers.
  • Intermediate or advanced knowledge of information technology and data management programs.
  • Must be highly organized and possess the ability to work with confidential matters.
  • Excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Completion of YMCA’s online training upon date of hire

FULL TIME BENEFITS:
